What we build and manage

We scope the measurement system around your existing phone provider, website, advertising accounts and CRM. The first deliverable is a written definition of the outcomes your team wants to measure.
  • A measurement map covering phone-link clicks, connected calls, qualified conversations, appointments and closed business. Each event has an owner, a definition and a documented source of truth.
  • An inventory of website numbers, ad call assets, forwarding destinations and routing rules. We preserve a clear main business number and document which numbers belong to which measurement system.
  • Dynamic number insertion where appropriate, with number-pool sizing and fallback behavior matched to your traffic and provider. We test that the visible number and mobile tap-to-call destination stay aligned.
  • Google Ads conversion configuration that distinguishes observation events from the outcomes selected for campaign optimization. We review duplicate tags and overlapping imports before adding another conversion action.
  • A qualification scorecard based on service fit, geography, decision-making role and the caller's actual need. Call duration can be a diagnostic signal; it does not establish lead quality by itself.
  • CRM field mapping for source, campaign, call identifier and outcome where the chosen systems expose them. Unmatched calls remain visible as a reporting limitation instead of being assigned a source without evidence.
  • A documented test plan covering answered calls, missed calls, repeat callers, mobile links, browser consent choices and failed integrations. Test records are labelled so they do not inflate client acquisition reports.
  • A reporting view that connects media spend, call handling and sales results. Access, retention, recording settings and consent implementation are agreed with your team before the relevant features are enabled.

How we get started

  1. Step 1: Map the current journey

    We follow an enquiry from its first website visit through your phone system to the CRM. Your team identifies who answers, where outcomes are recorded and which access or integration gaps could prevent reliable matching.

  2. Step 2: Define and configure

    We agree conversion definitions and configure the required numbers, events and CRM fields. A booked appointment and a closed sale remain separate outcomes so the report can explain where opportunities stop progressing.

  3. Step 3: Validate with real scenarios

    We place approved test calls and reconcile the phone log, website event and CRM record. We check missing events and duplicate counting, then document known limitations before using the resulting conversions in campaign decisions.

  4. Step 4: Review and maintain

    We inspect attribution coverage and outcome completion on an agreed schedule. New landing pages, changed phone routing and CRM workflow edits are common reasons to retest a previously working setup.

How we measure progress

A useful measurement report shows both business outcomes and the completeness of the data behind them.
  • Answer rate

    Answered inbound calls divided by inbound calls received, with repeat attempts and reporting hours defined consistently.

  • Qualified-call rate

    Calls meeting the agreed scorecard divided by reviewed calls. Unreviewed calls are reported separately rather than silently treated as unqualified.

  • Cost per qualified call

    Attributed advertising spend divided by qualified calls in the same reporting period, with agency and software fees shown separately when calculating total acquisition cost.

  • Outcome match rate

    The share of measured calls linked to a usable CRM outcome. This reveals whether a persuasive dashboard is supported by sufficiently complete sales records.

  • Booked and won outcomes

    Appointments and closed customers linked to calls, reported using a stated attribution window and allowing for the delay between enquiry and purchase.

  • Measurement implementation

    A fixed project scope covering the agreed websites, numbers, advertising accounts and CRM integrations. Provider subscriptions, number rental and usage charges are identified separately in the proposal.

  • Ongoing measurement support

    An optional retainer for reporting checks, conversion maintenance and changes to routing or integrations. The review cadence and responsibility for entering sales outcomes are agreed in advance.

Call Tracking FAQs

No. A visitor can tap a number and cancel before dialing. A phone-link event measures that website interaction; call reporting measures the conversation information available from the phone system. We label these separately so campaign reports do not imply that every click became an answered call.

No. Available detail depends on the advertising platform, tracking method, consent settings, number allocation and integrations. Cross-device visits and missing identifiers can create gaps. The implementation documents the level of attribution actually available and keeps unknown sources visible.

Where your measurement method and account support it, we can configure an appropriate import or integration. We first agree which outcome should inform bidding, test matching and check duplication. Importing more events is not automatically useful if the underlying qualification or sales records are inconsistent.

Not necessarily. The discovery process checks forwarding, number ownership, provider integrations and reporting access first. If the existing setup cannot support a required outcome, we explain the gap and scope the smallest practical change before implementation.

Recording is a separate operational decision. Call counts, answer status and CRM outcomes may support useful reporting without recording every conversation. If recording or transcription is included, your team approves the notices, access controls, retention and applicable requirements before launch.
