How we get started

  1. Step 1: Agree what belongs on the calendar

  4. Step 4: Refine coverage and qualification

    We review missed contacts, appointment availability and rejection reasons. Changes may include different coverage hours, clearer questions or improved reminders; adding more setters only helps when demand and calendar capacity justify it.

How we measure progress

We measure the full progression from enquiry to an attended, useful appointment. Booked volume alone does not establish sales quality.
  • Time to first response

    Elapsed time between an eligible enquiry entering the queue and the first recorded response attempt, reported within and outside the agreed coverage hours.

  • Contact and qualification rates

    The share of assigned enquiries reached and the share meeting your criteria. Wrong contact details and unreachable prospects remain separate from confirmed poor-fit leads.

  • Qualified appointments booked

    Appointments meeting the written definition, with duplicates, cancellations and reschedules identified so one prospect is not counted repeatedly as new business.

  • Attendance and acceptance

    The share of due appointments that happen, followed by the share your sales team accepts as a relevant opportunity. These reveal different problems and should be reviewed separately.

  • Cost per qualified appointment held

    The agreed program cost divided by qualified appointments attended. The report states whether advertising, data, software or internal sales costs are included.

    Coverage is scoped around enquiry volume, working hours, training and the number of calendars or service lines. Your proposal identifies management, tooling and reporting responsibilities.

  • Shared coverage or pilot

    A defined capacity and review period for businesses testing the workflow or handling variable demand. Any per-appointment terms specify qualification, attendance, duplicates and replacement rules in writing.

Lead generation creates or identifies potential interest. Appointment setting takes an appropriate enquiry through qualification and scheduling. We can scope these services together, but we report lead creation, successful contact, booked appointments and attended meetings as separate stages.

Yes, subject to access and an agreed handoff. We map the source form or phone queue to your CRM, check which details the prospect already supplied and agree how quickly coverage should begin. Advertising management is a separate scope unless included in your proposal.

No universal number would be credible without understanding your offer, enquiry quality, calendar availability and market. A pilot establishes a baseline and an agreed planning target. Your sales process still determines whether an attended appointment becomes a customer.

Agents use the approved knowledge and pricing guidance in your playbook. Questions requiring professional judgment, a site inspection or an exception go to the appropriate person. The booking notes make those unresolved questions clear so the prospect receives a consistent follow-up.
